Cancellation Policy

Important: Project cancellations affect our team's schedule and other clients. We ask that cancellation requests be communicated as early as possible so we can reach a fair resolution for both parties.

1. Client-Initiated Cancellation

You may cancel a project at any time by sending a written notice to tech@satsaiinfo.com. The following terms apply based on the stage of cancellation:

Before Project Starts

Cancellation within 24 hours of signing the agreement or making advance payment: Full refund minus any payment gateway charges. After 24 hours but before work begins: Refund as per our Refund Policy.

During Development (0–30% complete)

A partial refund may be issued after deducting costs for work completed, team hours spent, and any third-party expenses. An itemised statement will be provided.

During Development (30–70% complete)

Payment for completed milestone(s) is non-refundable. The remaining balance (for unstarted milestones) will be refunded after deducting overhead costs. All work completed to date will be delivered to you.

Near Completion or Post-Delivery (70%+)

No refund is applicable. The full project balance becomes due. All completed deliverables will be handed over upon receipt of final payment.

2. Project Pause / Hold

If you need to put the project on hold rather than cancel entirely:

  • Notify us in writing at least 5 business days in advance
  • Projects can be paused for a maximum of 60 calendar days
  • After 60 days without communication, the project may be considered cancelled and subject to the cancellation terms above
  • Resuming a paused project may incur a re-onboarding fee if team composition or timelines have changed

3. Sat Sai Infocom–Initiated Cancellation

We reserve the right to cancel a project in the following circumstances:

  • Non-payment of agreed milestones after 15 days of due date
  • Client requests that require us to violate any laws, regulations, or ethical standards
  • Persistent unavailability of client for feedback or approvals causing project delays beyond 30 days
  • Force majeure events beyond our reasonable control

In such cases, we will provide written notice and refund any amounts paid for unstarted work.

4. Deliverables Upon Cancellation

Upon cancellation (regardless of which party initiates it), Sat Sai Infocom will:

  • Deliver all completed work and assets to the client within 7 business days
  • Provide source code, design files, and documentation for completed portions
  • Transfer access to any accounts or platforms set up on the client's behalf
  • Revoke our own access to client systems and accounts within 3 business days of cancellation

5. Subscription / Maintenance Plans

Monthly retainer or maintenance subscriptions may be cancelled with 30 days' written notice before the next billing cycle. No pro-rata refunds are provided for the current billing period already paid.

6. How to Cancel

  1. Send an email to tech@satsaiinfo.com with subject "Project Cancellation — [Your Project Name]"
  2. Include your project agreement reference number and the reason for cancellation
  3. We will acknowledge your request within 2 business days and schedule a call to discuss next steps

7. Governing Law

This policy is governed by the laws of India. Disputes arising from cancellations shall be subject to the jurisdiction of courts in Ajmer, Rajasthan, India.
